About the Job
The Project Coordinator for Eby Construction is responsible for the organization and flow of information including, but not limited to, resource planning, material samples, meeting notes and instructions, customer and vendor details, general administrative tasks, the effective utilization of software and other online tools.
The Project Coordinator will report directly to the CEO. This position is non-exempt and wages are commensurate based on experience.
The primary location will be Eby Construction offices in Oakland, California, with travel throughout the bay area to visit jobs and vendors.
Maintain resource scheduling data for staff and vendors
Use data to track and report on job costs and job schedules compared to budgets and commitments
Create purchase orders for larger vendor transactions. Ensure that PO values reflect contract budgets, or help CEO prepare change orders to resolve budgets with costs
Enter vendor bills and charges into accounting software, coded to each job
Meet often with CEO to review project details, schedules and actors. Take detailed notes and convert notes to scheduled tasks for assignees
Communicate often with staff, vendors, clients and designers to ensure that scheduled progress and milestones are on track
Alert CEO to any scheduling issues with a structured outline of the issue and a few solutions ready
Maintain digital project files, physical samples and main office job boards
Keep information organized, current and accessible
Regularly travel to project sites for meetings
Assist CEO with estimating by preparing job information for vendors in Requests for Pricing
Effectively plan resources according to the availability of staff, materials, subcontractors, vendors and customers

You are an exceptional communicator who can clearly explain your ideas, either to the internal team or to a client. You know when to loop people in, and you enjoy working as part of a team
You are diligent and work until the task is complete
You are adaptable and when things veer from the planned agenda you can quickly redirect and pick up the pace
You are socially adept and can manage a variety of personalities with ease, grace and a high level of hospitality
Details matter to you and you can easily relate to how much they matter to your team, to vendors and especially to customers
2-3 years coordinating projects for a manufacturing company or related industry
2-3 years implementing and utilizing project management software
Ability to measure lengths, calculate area, and tally numbers
Valid California driver’s license
Able to use the following tools
Microsoft Office Suite
Project management software or applications such as Asana or the like
Knowledge of critical path development when coordinating projects
Direct experience designing and building things whether professionally or personally
